Report 366: Coach/Tour Operator Bookings

Last updated 18 days ago

Overview

This report is specifically designed to manage and track bookings made through Coach or Tour Operators. It provides a detailed breakdown of group bookings linked to agents versus direct individual customer bookings, helping parks monitor agent-held allocations and party sizes.

Best Use Case

  • Operator Management: Monitoring "held" units versus actual "booked" units for tour operators .

  • Arrival Planning: Forecasting party sizes (adults, children, infants) for large tour groups .

  • Revenue Audit: Reviewing total invoiced revenue for agent-led group holidays.

Available Filters

  • Parks: Multi-select parks.

  • Agent: Filter for a specific Coach/Tour operator or view all.

  • Arrival Date Range: Filters based on the date the holiday takes place .

  • Order By: Choose to sort results by Date or by Group.

Key Data Logic

  • Amount Shown: Displays the Total Invoiced Amount rather than payments received.

  • Income Logic: Revenue is not pro-rated. The full invoiced amount for the booking is shown if the arrival date falls within the range.

  • Product Source: Shows the product linked to the booking, but also identifies "Units Booked" even if a specific pitch or van hasn't been assigned yet.

  • Agent Commission: The report shows total invoiced revenue; it does not explicitly deduct agent commissions in the primary totals.

  • VAT: Included in the total invoiced values.

  • Extras: Focuses on the "Agreed Price Per Head" for party members rather than miscellaneous extras .

  • Owner Bookings: Excluded; the report specifically focuses on external agents and direct guest bookings.

  • Booking Statuses: Includes active bookings but excludes cancelled bookings (Status 9).

  • Assignment: The booking does not need to be assigned; it includes unallocated bookings to ensure "Units Booked" counts are accurate.

  • Reporting Period: Standard calendar date ranges are used; no financial period setup is required .
